Small businesses rarely decide to “do HR”. HR happens to them – a good employee resigns, a labour notice arrives, two managers stop speaking to each other, or the owner realises that every appointment, increment and exit still lands on their own desk. Here are seven signs, drawn from BPro’s work with MSMEs in Kerala and across India, that it is time to bring in professional HR support – and what a good engagement should look like.
1. Your best people are the ones leaving
When average performers stay and strong performers go, it is almost always because effort and reward are not visibly connected. That is a system problem – appraisal, recognition, growth paths – and it is fixable.
2. Hiring is constant, and every hire is a gamble
If you are always recruiting for the same roles, the issue is usually not the candidates. Unclear role definitions, weak induction and no early performance feedback turn reasonable hires into early exits.
3. The owner is the HR department
Leave, salary questions, disputes, appointments, exits – if all of it comes to you, you are running HR on top of running the business. A structure of policies, an HRMS and defined manager responsibilities gives that time back.
4. Increments and promotions cause more unhappiness than happiness
Without measured performance, every increment cycle becomes a negotiation, and everyone compares. A transparent performance management system makes the outcome explainable, which is what people actually want.
5. Nobody is trained – they just “pick it up”
Product knowledge, process discipline and customer handling that live in a few experienced heads walk out when those heads do. Structured onboarding and continuous learning through an LMS turn tribal knowledge into organisational capability.
6. Compliance is handled when the notice arrives
Statutory obligations, records and documentation are easier and cheaper to maintain than to fix. A consultant will tell you plainly where you stand.
7. You are planning to grow, add a location, or hand over
Expansion and succession both expose informal systems. If the next branch, the next shift or the next generation is coming, the people systems need to be in place before, not after.
